You'll learn
- The five rules of a clean data sheet
- Turning a range into an Excel Table
- Why Tables make everything after this easier
The five rules
- One header row. A single row of column names at the top. No titles or notes above it.
- One row per record. One order, one job, one invoice line per row.
- One kind of thing per column. Dates in the date column, amounts in the amount column. No "TBC" in a number column.
- No merged cells, blank rows or blank columns inside the data.
- No totals in the middle. Totals belong in a report, not in the data.
Make it a Table
- Click any cell inside your data.
- Press Ctrl+T (Mac: Cmd+T).
- Tick My table has headers → OK.
- On the Table Design tab, change Table Name to something short, like
Orders.
Now formulas fill down by themselves, new rows are picked up automatically, and you can write Orders[Qty] instead of C2:C145.
Try it · practice workbook
Open the Orders sheet. Make it a Table called Orders. Do the same for Customers and Products.

How Keo Collective helps
Most messy spreadsheets are messy because data is typed in wherever someone had room. We build capture forms that put every record in the right shape the moment it happens.
